Don't argue. Give the desk more ways to find the booking: your confirmation number, the booking site's own reference, the name of whoever paid, the card's last four digits and the dates. Show the confirmation email. If it still isn't there, ask what they can do tonight, and get a name before you leave the counter.
This is for the traveler standing at a front desk with a booking they're sure they made. It can't tell you what a particular hotel or booking site owes you, and it doesn't cover refunds.

Example: the booking under someone else's name
Say you land at 22:40, tired, and the desk says there's no reservation for Rivera. You booked through a travel site, and your partner, Jordan Lee, paid with their card and typed their own name into the guest field. Your confirmation email says "Lee". Nothing is wrong with the booking. The desk searched for the wrong name.
What each reference is, and who can look it up
An illustration. The same booking can carry several numbers, and the desk's system may only search one of them.

- 30291

Dates
- Example
- Fri 14 to Mon 17

5 things to do
Ticks are for this visit only. Nothing here is saved anywhere.
What to say
State the problem without blame, then move to what resolves it.
Pick the one you are facing
“I have a reservation with you and it isn't showing. Can I give you a few other ways to look it up?”
“I booked through a travel site. Could you look under this reference, and I'll call them while you search?”
“I have the confirmation email here. What can you do for me tonight?”
“Can you find me a room at a comparable hotel nearby, and will you note that in writing?”
Ways to ask them to search, in order
- The hotel's own confirmation number.
- The booking site's reference, which is usually a different format.
- The surname of whoever paid or booked, not whoever is staying.
- The last four digits of the card.
- The dates alone, which often surfaces a booking with a misspelled name.
If you booked through a travel site
A third-party booking can lag behind: the site has your reservation and the hotel's system doesn't yet. Call the site while you're standing at the desk, tell them the hotel can't find it, and ask them to contact the hotel directly. If you paid the site in advance, don't pay the hotel again without asking the site what happens to the first payment. Keep the site's confirmation, because it's your proof.
If it still isn't there
Show the confirmation email, and ask what they can do tonight, not what went wrong. The cause is for tomorrow, and where you sleep is for now. Ask for a supervisor if the first person can't help. If they're full, ask whether they can place you at a comparable hotel, and get the name of who you spoke to plus a reference before you leave the desk.
If you end up booking a room yourself, keep every receipt. If a charge on your card is wrong, the Federal Trade Commission says to contact your card issuer right away, in writing, within 60 days of the first bill that shows the error, so note the date now.
What can go wrong
- You arrive late and the hotel has released the room. If you were delayed, see what to do when a flight delay costs you a connection for what to say, and tell the hotel before you land, not after.
- The booking is under a different name than your passport. That's fine for a room and a problem for anything that needs ID, so see what to carry and where to note it.
- You can't open the email. Screenshots fail at the counter, so keep the confirmation and the hotel address on paper, as what to keep on paper when you travel explains.
- Your changed flight moved your arrival and you forgot the hotel. Start at what else a changed flight affects.
Questions at the front desk
What should I do if the hotel can't find my reservation?
Stay polite and offer other ways to search: the hotel's confirmation number, the booking site's reference, the name of whoever paid, the card's last four digits and the dates. Show the confirmation email. If it still isn't there, ask what they can do tonight and note the name of the person who helps you.
The hotel says there's no booking, but I booked on a travel site. What now?
Call the site from the desk and ask them to contact the hotel about your reservation. The site can have your booking while the hotel's system doesn't. Give the desk the site's reference as well as the hotel's number, and keep the site's confirmation in case you need it to prove the booking or ask for a refund.
Should I book another hotel while I sort it out?
If it's late and no one can promise you a room, that may be the practical choice, and it doesn't stop you from sorting out the original later. Keep the receipt and the confirmation, write down who told you what, and ask the site or hotel afterward about the cost. Ask first whether they can place you nearby.
Can I dispute the charge if the hotel doesn't honor the booking?
You can contact your card issuer. The FTC says to do it in writing, promptly, and within 60 days of the first bill that shows the error, and that the issuer has to acknowledge in 30 days and resolve within 90. Include copies of the confirmation and any receipts, not the originals, and keep copies of what you send.
How long before a booking appears in the hotel's system?
It varies, and there's no single answer. A booking through a travel site may take time to reach the hotel, and a very recent booking can be missing at check-in. If you booked recently, or just changed the dates, contact the site before you travel and ask whether the hotel has the current details.
Where a Companion helps
Travel Companion keeps the confirmation reference and the booking title on each booking card, with any note you add. The name it was booked under has no field of its own, so put it in that booking's notes. From the booking, Sort out a hotel problem walks you through what happened (they can't find the reservation, no room, the wrong room, a charge), what you want, what to have in front of you, and an opening line you can keep or rewrite. Afterward it asks how it went. It doesn't know what the hotel owes you.

Where to go next
- Flight schedule changed? What else in your trip to check
When a changed flight moved your arrival, this finds every booking that was built on it so none is left behind.
- Travel document checklist: what to carry and where
Passport names and booking names often differ, so this shows which details to note beside each document.
- What to print before you travel: a one-page paper list
Screenshots fail at the counter, so this covers printing the confirmation and the hotel address in the local language.
